CHANGES, CANCELLATIONS AND REFUNDS

East of Scotland Jazz Education (ESJE) reserves the right to change details of the course within the overall framework if necessary, for example if a replacement tutor is needed at the last minute.

Deposit payments become non-refundable as soon as your place is confirmed. Balance payments are due no later than 31st May 2024. In the event of you cancelling your booking after this date, no refund can be offered.

Participants are advised to arrange their own personal cancellation insurance.

In the unlikely event that we have to cancel the course, any payments made will be refunded in full within 14 days of the announcement of cancellation.

LIABILITY

Personal items and instruments will not be covered under the venue’s insurance, so please make sure that you have your own cover in place against loss or damage. If you park at the venue, neither East of Scotland Jazz Education nor Strathallan School can be held liable for any loss or damage in respect of your vehicle.

East of Scotland Jazz Education will not be liable for accidents or damage caused by a participant which involve either himself/herself or any other participant or staff member. In such cases the participant, or (for those under 18 years of age) their parent or other caregiver, will take full responsibility for their actions and for any loss or damage caused, including reimbursement of any costs incurred as a result of such an incident. If any such damage is found to have been caused deliberately, the participant(s) may be required to leave the course immediately.

CHILD PROTECTION

All course staff are members of the Protecting Vulnerable Groups Scheme run by Disclosure Scotland. There will be four houseparents in residence throughout the course who are there to ensure the safety and welfare of all the course participants, and to supervise participants under the age of 18 in a ratio of no more than 1 to 10.

Any residential participant under the age of 18 who needs to go offsite may do so only if accompanied by one of the houseparents or if being collected by a nominated adult, in each case subject to prior written permission having been received from the parent or other caregiver.

Non-residential participants under the age of 18 should be dropped off at the venue by 9.15 am each morning (from Monday to Friday inclusive) and collected no later than 5.45 pm (from Monday to Thursday inclusive). On Friday afternoon the course will finish at approximately 4 pm. Please do not collect your child without notifying a houseparent.

DATA PROTECTION

East of Scotland Jazz Education undertakes to store participant details on a database accessible only to authorised staff for the purposes of administration and communication, and to permanently delete all such data once no longer required.

PHOTOGRAPHY AND RECORDINGS

ESJE may take photos and videos during the course for use on our website, social media platforms and future publicity. No participant will be identified by their full name in any such images or recordings. If you prefer not to have your image used in this way, please advise us prior to the start of the course.

ACCEPTABLE BEHAVIOUR

Students are expected to show respect all course staff, fellow participants and venue staff at all times. Any participant found to be behaving in an inappropriate, disrespectful or threatening manner to fellow students, course staff or employees of the venue, or in such a way that disrupts any class or activity, may be required to withdraw from the course with immediate effect.

The course venue is a no smoking campus, so please do not smoke in any part of the grounds. 

COMPLAINTS

If a participant has cause for complaint about any aspect of the course, he or she should speak to an administrator or houseparent at an appropriate time, such as during a break. We will then do our best to resolve the matter. We ask that participants do not raise complaints during plenary or group sessions unless the matter is of a genuinely urgent nature.
