Terms and Conditions

BOOKINGS, CANCELLATIONS AND REFUNDS

East of Scotland Jazz Education (ESJE) reserves the right to refuse any booking at their discretion. If your booking is not accepted, any deposit payment will be refunded at the earliest possible opportunity.


Your place will be confirmed in writing once you have accepted the Participants’ Agreement, which is the final part of the booking process. Deposit payments become non-refundable as soon as your place is confirmed in writing by the administrator.


Balance payments are due no later than 31st May 2026. In the event of you cancelling your booking after this date, no refund can be offered.
Participants are advised to arrange their own personal cancellation insurance.
In the unlikely event that we have to cancel the course, any payments made will be refunded in full within 14 days of the announcement of cancellation.

DISCOUNTS

Only one discount per booking will be applied. In the event that a participant is eligible for more than one discount, the greater discount will be applied.
Family discounts – if two or more members of the same family attend, all are eligible for a 5% discount on the cost of the course.


Group discounts will be at two rates: 5% for groups of 5-9 members, and 10% for groups of 10 or more members. Only those members who have paid their deposits by 22nd May 2026 will count towards the group membership for the purposes of calculating the discount. Members signing up after 22nd May will be eligible for the group discount but the discount cannot be increased from small to large group status after this date.

LIABILITY

Participants are advised not to bring valuable items with them on the course if possible and to make sure accommodation rooms are left locked when empty.
Personal items and instruments will not be covered under the venue’s insurance, so please make sure that you have your own cover in place against loss or damage. If you park at the venue, neither East of Scotland Jazz Education nor Strathallan School can be held liable for any loss or damage in respect of your vehicle.


East of Scotland Jazz Education will not be liable for accidents or damage caused by a participant which involve either himself/herself or any other participant or staff member. In such cases the participant, or (for under-18 participants) their parent/caregiver, will take full responsibility for their actions and for any loss or damage caused, including reimbursement of any costs incurred as a result of such an incident. If any such damage is found to have been caused deliberately, the participant(s) may be required to leave the course immediately.

CHILD PROTECTION

All course staff are members of the Protecting Vulnerable Groups Scheme run by Disclosure Scotland. There will be four pastoral staff in residence throughout the course who are there to ensure the safety and welfare of all the course participants, and to supervise participants under the age of 18 with a minimum ratio of 1 to 10.

In addition, the Participants’ Agreement provides important information regarding the course rules for under-18 participants and all parents/caregivers should ensure that they have read and accepted the agreement.

ACCEPTABLE BEHAVIOUR

Participation on the course is conditional on the acceptance of the Participants’ Agreement. Under-18 participants must also have a parent/caregiver acknowledge receipt of the Agreement. Any participant found to be in breach of the Agreement may be asked to leave the course.

INCLUSION

East of Scotland Jazz Education prides itself in welcoming all-comers to the course. Any participant found to be discriminating against another, or acting in an abusive or threatening manner, may be asked to leave the course.
Accommodation is provided in single rooms with shared bathrooms, in single-sex corridors. ESJE recognises the importance of ensuring that all participants feel welcomed and safe and if you have any concerns about the residential arrangements we would be happy to discuss them. Please contact the administrator to arrange this.

DATA PROTECTION

East of Scotland Jazz Education undertakes to store participant details on a database accessible only to authorised staff for the purposes of administration and communication, and to permanently delete all such data once no longer required.

PHOTOGRAPHY AND RECORDINGS

ESJE may take photos and videos during the course for use on our website, social media platforms and future publicity. No participant will be identified by their full name in any such images or recordings. If you prefer not to have your image used in this way, please advise us prior to the start of the course by contacting the administrator.

COMPLAINTS

If a participant has cause for complaint about any aspect of the course, they should speak to the administrator or a member of the pastoral team at an appropriate time, such as during a break. We will then do our best to resolve the matter. We request that participants do not raise complaints during teaching sessions or rehearsals unless the matter is of a genuinely urgent nature.
